Consolidation across entities that share no system

Consolidation software assumes every entity is on the same ledger. Yours are on Xero, QuickBooks, and a spreadsheet a bookkeeper in another country maintains.

“Six entities, six systems, and nothing consolidates.”

What the first week of the month looks like

  1. You chase three sets of numbers that close on three different days.
  2. You map each entity’s chart of accounts onto the group chart, again, by hand.
  3. You strip out intercompany and hope you caught all of it.
  4. You convert the foreign entity and note which rate you used, in case anyone asks.

The files this actually involves

  • Xero P&L, entity by entity

Each with its own chart of accounts

  • QuickBooks export

Different account names for the same lines

  • A spreadsheet for the entity nobody connected

    Often the overseas one

  • Payroll across entities

The largest cost line and the least consolidated

  • Bank balances

For the cash position the board actually asks about

The one that eats the afternoon

The entity kept in a spreadsheet. It changes shape whenever the person maintaining it has an idea, and no consolidation tool will ever read it.

What Databoat does about it

Mapping is agreed once, then frozen

Each ledger’s chart of accounts is mapped onto a single group chart in the first month. After that the mapping is compiled code, so a twelve-month series is twelve identically computed months rather than twelve judgement calls.

Intercompany stated, not assumed

The elimination appears as its own line in the reconciliation panel and has to net to nil across both ledgers. If it does not, the pack says so rather than quietly absorbing the difference.

The basis is on the page

Which FX rate, average or closing, and what it converted — printed with the numbers. A board pack that cannot answer that question is a board pack that gets asked it.

A finished pack for exactly this

Tell us the report you rebuild

Early access opens practice by practice. Tell us the report you rebuild every month and the files behind it. If it’s close to something we already handle, we’ll ask for a sample and set you up on your real data. If not, we’ll say so plainly rather than park you on a list.

A person replies. No drip sequence, no card, nothing charged.
